Run the whole subcontract, from first price to final retention.

SubMan is built for the subcontractor, not the head contractor. Price the job, send it to every builder who's tendering, turn the winner into a contract, track every variation, and lodge progress claims each month — in one app your whole team works in, instead of a spreadsheet per person and a shared drive full of versions. Connect Xero when you're ready, and your clients and jobs stay in step with your accounts.

We're onboarding a small number of trade businesses by hand. Tell us a little about yours and we'll be in touch.

One app, not a dozen spreadsheets

Most trade businesses run a job across a quote worksheet on one estimator's laptop, a jobs list someone else keeps, a claims workbook per job, and a WIP sheet nobody fully trusts. Each one is retyped from the last. SubMan puts all of it in one place, so the whole team works from the same numbers.

Today

  • A copy of the rate sheet per estimator, each slightly different
  • Quotes copied from an old quote and edited by hand
  • Contract values and variations re-keyed into a claims workbook
  • Client details typed again into Xero, and again into the jobs list
  • "Final v3 (2).xlsx" — and no way to tell who changed what

With SubMan

  • One set of rate cards and labour rates for the whole business
  • Quotes priced from those rates, with margin and hours worked out
  • Claims built straight from the contract and approved variations
  • Clients and jobs kept in step with Xero, entered once
  • Every change recorded, and no one saving over someone else's work

Fewer copies means fewer mistakes: a rate changed once, a contract value nobody retypes, a claim that always adds back to the contract.

Built for the trade that does the work

Head-contractor software is built to manage you. SubMan is built for your side of the job: the joinery, shopfitting, fit-out and building trades who price work, sign the builder's contract, and then have to get paid for it.

Estimators

Price it once, send it to everyone

Build the quote from your own rate cards and labour rates, see materials, hours and margin as you go, and send the same price to every builder tendering — a PDF and a spreadsheet for each, under their name.

Contract administrators

The contract and every change to it

Accept the winning quote into a job with its contract lines and terms. Each variation is priced, sent, approved and kept against the job, so the contract value is never a guess.

Accounts

Claims that add up

Monthly progress claims built from the contract and approved variations, with retention, bank guarantees and what the builder actually approved — and the invoice in Xero to match.

Owners

Every job, in one place

What's quoted, what's won, what's claimed and what's still held in retention, across every job — with who changed what and when.

How it works

One record follows the job from the first price to the last dollar of retention. Nothing is re-keyed between the quote, the contract and the claim.

  1. QuotePrice items from your rate cards and labour rates, or import the worksheet you already use. Margin, hours and materials are summarised as you go.
  2. Send to every builderThe same quote goes to each builder tendering, with their name on it, as PDF and Excel. Revisions are tracked.
  3. Win itAccept the quote into a job. Its contract lines, terms and the people on the job come with it.
  4. VariationsPrice a variation from the job's own rates, send it for approval, and record what was approved and when.
  5. Claim each monthProgress claims build from the contract and approved variations — by line, or by total for a builder's portal — with retention worked out for you.
  6. FinishPractical completion, defects and the retention or bank guarantee releases that follow, each with a date that doesn't slip by unnoticed.

What you get

The everyday work of a subcontract business, in one place, with the tools you already use connected rather than replaced.

Quoting

Quotes and tenders

  • Rate cards and labour rates — your prices, kept as templates; each quote keeps its own copy, so changing a rate never moves an old quote.
  • Estimate summary — materials, hours and margin for the whole quote, and later the job.
  • One quote, several builders — a document per builder from the same price.
  • Terms as clauses — switch a clause off for this job, add one for this site.
  • Import from your worksheet — bring existing Excel quotes in (an optional add-on).

Contracts & claims

Jobs, variations and progress claims

  • Contracts — the accepted quote becomes the job's contract, with your company details and terms.
  • Variations with approval — sent, approved and kept against the contract value.
  • Progress claims — monthly payment claims from the contract, with the reference format your builders expect.
  • Retention and bank guarantees — percentage and cap per job, releases at practical completion and the end of defects.
  • Builder portals — claim by total when the builder uses their own portal, and record what they approved.

Connected

Your tools, not ours

  • Xero, optional — clients and job tracking kept in step with your own Xero organisation. More
  • Your own drive — quotes, contracts and claim documents are filed in your Google Drive or SharePoint, not ours.
  • Spreadsheets — a live jobs list for Google Sheets or Excel, read with a key you control.
  • Sign in with Google or Microsoft — no new password to manage.
  • Roles — owners, admins, estimators and viewers, and who's on each job.

Works with Xero — when you want it to

Xero is optional. SubMan works on its own from day one; connect your Xero organisation whenever you're ready, and disconnect it whenever you like. When it's connected, your accounts and your jobs stop being two separate worlds.

Clients

Your Xero contacts, matched once

Match each client to its Xero contact, or add a new client straight into Xero. From then on its name, ABN, email and addresses come from Xero and stay current — no second copy to drift.

Jobs

A tracking option for every job

When a quote is won, SubMan can create the job's Xero tracking option from its job number and project, so costs and invoices in Xero land against the right job.

Claims

Claims invoiced in Xero

Progress claims raised as Xero invoices, with the claim document attached and the reference your builder expects.

In your control

Your Xero, your subscription

You connect through Xero's own sign-in and choose the organisation. SubMan never touches your bank, payroll or existing transactions, and you can disconnect from Xero's Connected Apps page at any time.

Your data

Your clients, your prices and your jobs are yours. SubMan holds what it needs to run the work, and files the documents in your own drive.

Files in your driveDocuments SubMan makes or you upload are written to the Google Drive or SharePoint your business connects. Disconnect it and they stay where they are.

Questions

Who is SubMan for?

Subcontractors and trade businesses who quote to builders and then claim against the builder's contract — joinery, shopfitting, fit-out and other building trades. It manages the subcontract from your side, not the head contractor's.

Do I need Xero?

No. SubMan works on its own, and Xero is optional. If you use Xero, connecting it keeps your clients and job tracking in step with your accounts. Xero stays your accounting system; SubMan does not replace it.

Does it prepare Security of Payment claims?

SubMan builds your progress claims from the contract and approved variations, numbers them, works out retention and records what the builder approved. Whether a claim is a valid payment claim under the Security of Payment legislation in your state, and how and when it is served, remains your call — SubMan is a tool, not legal advice.

Can I bring my existing quotes in?

Yes. Quotes in your existing Excel worksheet can be imported, and a claim history kept in a spreadsheet can be brought into a job. Both are optional add-ons.

Where are my files kept?

In your own Google Drive or SharePoint, in folders you choose. SubMan keeps your templates and logo; the documents themselves live with you.

What if a builder uses their own claims portal?

Claim by total, lodge it in their portal, and record in SubMan when it was lodged, how much, and what they approved. References and uploads are optional.

Who is behind SubMan?

SubMan is built and operated by EMJ Services Pty Ltd in Sydney, alongside a working joinery subcontractor that runs its jobs on it every day.
